RetailPro India is a distribution business operating across three warehouse locations in the Chandigarh Tricity region. Before engaging Alif InfoTech Solutions, the business was running entirely on Excel spreadsheets — a setup that worked when they had one location but became increasingly unmanageable as they grew.

The Problem

The core challenge was visibility. When a customer called to check stock availability, the team had to call each warehouse separately, wait for manual stock checks, and then report back — a process that took 15-20 minutes and frequently resulted in wrong information being communicated. Stock transfers between locations were tracked on paper, and discrepancies between physical stock and recorded stock were discovered only during monthly audits.

GST compliance was another pain point. Generating GST-compliant invoices required manually entering product details, HSN codes, and tax calculations into a separate billing tool — a process that took 6-8 minutes per invoice and introduced frequent errors.

Our Solution

We designed and built a web-based SaaS platform with four core modules: inventory management, billing, reporting, and team management.

The inventory module supported real-time stock tracking across all three locations. Staff could scan barcodes to record stock movements, and the system updated levels instantly — making stock discrepancies a thing of the past. Automated reorder alerts notified the owner when any SKU fell below a defined threshold.

The billing module pre-loaded all product details, HSN codes, and GST rates, reducing invoice generation to under 60 seconds. Invoices were automatically formatted for GST compliance and could be sent to customers via email or WhatsApp directly from the system.

The reporting dashboard gave the owner real-time visibility into sales performance, stock movement, and team activity from any device — including a mobile-optimised view for checking numbers on the go.

Results

Within the first month of going live, stock discrepancies were eliminated. Billing time dropped from an average of 8 minutes to under 60 seconds per invoice. The business was able to onboard two additional team members without adding supervisory overhead, because the system provided complete visibility into all activity.

The owner now checks the previous day's performance every morning from his phone before arriving at the office — something that was not possible before.
